How far in advance should I coordinate my Airvanto passage?

To guarantee complete operational clearance and allocate executive greeter resources, we require bookings to be made as early as possible. Urgent requests submitted within 48 hours of service execution may incur rush coordination fees and remain strictly subject to local airport authority approvals and greeter availability.

Does submitting my booking payment guarantee my reservation?

No. Payment submission alone does not guarantee service confirmation. In accordance with Section 3 of our Terms, service confirmations become valid and legally binding only after Airvanto reviews operational constraints and issues a formal Booking Confirmation Voucher. If a reservation is declined due to supplier constraints or security restrictions, a full refund is immediately issued.

What payment methods do you accept for VIP transit bookings?

We accept Visa, Mastercard, American Express, and PayPal directly through our secure, SSL-encrypted payment gateway. Full payment is processed at the time of booking to clear airport supplier fees. For corporate accounts, custom invoiced billing terms may be arranged with prior written approval from our corporate dispatch desk.

Where exactly will my assigned concierge greeter meet me?

Greeting coordinates depend on the type of service booked:

  • Arrival Services: Your concierge greeter will stand by at the aircraft jet bridge door or at the entrance of the arrival terminal building holding a personalized digital greeting board.
  • Departure Services: Your host syncs with your chauffeur and meets you curbside at the airport terminal departure drop-off zone.
  • Connection/Transit Services: Your escort greets you at the arrival aircraft jet bridge and navigates you straight to connection transfers or VIP lounges.
What are the included waiting windows for delays or airport wait times?

Standard coordination windows included in your booking flat rate are:

  • Arrival & Departure Services: Up to 2 hours of active coordination from the scheduled flight time.
  • Transit & Connection Services: Up to 3 hours of active gate-to-gate escort coordination.

Waiting times extending beyond these included operational windows due to traveler delays or baggage holding may incur operational surcharge fees, which will be disclosed before application.

Does Airvanto automatically track flight delays or early landings?

Yes. Airvanto actively monitors flights using real-time third-party aviation telemetry systems to adjust greeter dispatch times for early landings or delayed gates. However, because third-party data feeds may occasionally experience out-of-sync updates, travelers remain responsible for notifying Airvanto support immediately of any last-minute airline itinerary changes.

How will I communicate with my greeter or dispatch during transit?

Under our Communication Consent policies, you will receive real-time, end-to-end updates via email, SMS, and WhatsApp. Before departure, our dispatch desk will send you the name and direct mobile number of your assigned greeter. You can reach our global support desk at any time through our verified WhatsApp channel.

Luggage & Clearances

Can my assigned concierge host carry my physical luggage?

To maintain regulatory compliance and airport security alignment, Airvanto concierge representatives are generally prohibited from physically carrying heavy luggage. Where baggage handling is required, our dispatch desk can pre-arrange specialized, airport-authorized Porter Services (subject to separate local supplier fees) to escort your bags from curbside to check-in, or baggage carousels to vehicles.

Are immigration checks, customs screenings, and security fast-tracked?

Our escorts navigate you through fast-tracked lanes and VIP priority bypass checkpoints where available at local airports. However, all passengers remain strictly subject to standard government immigration inspections, customs rules, security clearances, and border control decisions. Airvanto cannot override decisions made by official border, immigration, or airline authorities.

Can a concierge accompany me inside airline private lounges?

Private airline lounge access remains subject to your ticket class, frequent flyer alliance, or local lounge operator entry fees. Our hosts will safely escort you to the lounge entrance and coordinate a precise departure pickup time to board your flight, but they generally cannot accompany you past the check-in desk of private airline lounges unless local regulations permit.

Changes & Cancellations

What is the Airvanto Booking Cancellation & Refund Policy?

To protect our local operational supplier allocations, cancellations are subject to our structured retention policy based on lead time before scheduled service:

  • 72+ hours before service: Full refund minus standard gateway payment processing and administrative fees.
  • 48–72 hours before service: Refund minus a 10% operational cancellation fee.
  • 24–48 hours before service: Refund minus a 50% operational cancellation fee.
  • Less than 24 hours / No-show: Fully non-refundable under any circumstances.

Note: Stricter cancellation terms imposed by specific airport authorities disclosed at the time of reservation supersede our general policy.

How can I reschedule or modify a confirmed airport booking?

All modification or rescheduling requests must be submitted in writing or via our dispatch channel at least prior 48 hours before the scheduled service execution. Approvals are strictly subject to local supplier availability and airport authority approvals. Modifications made within prior 48 hours of flight departures may be treated as a cancellation and require a new booking.

What constitutes a “No-Show” and how does it affect my booking?

A booking is marked as a No-Show if the traveler fails to establish contact with their greeter or dispatch within the included waiting window. If you land and are unable to locate your host, you must contact our 24/7 support channel immediately. Leaving the airport terminal or pickup zone without notifying us voids all refund eligibility.
